Applicant AI Notice Effective Date/Last Updated: June 20, 2025 This notice (“Notice”) seeks to inform our job applicants (collectively, “applicants”, “you” or “your”) that Optiv Security Inc. collectively, “Optiv”, "we", “our”, or "us”) may use Artificial Intelligence technologies (“AI”) to support various stages of your recruitment and selection process. We believe that it is important that you understand how AI may be used in evaluating your job application. Our approach to use of AI for recruitment It is our understanding that at present AI is effective in supporting hiring decisions when used in conjunction with human oversight and judgment. We are committed to using AI in a responsible and ethical manner and strive to ensure that the AI based tools used in our recruitment process are regularly evaluated and assessed to maintain their reliability, transparency and fairness. How We use AI for recruitment We may use AI for various purposes related to recruitment, including for sourcing, screening, and interviewing Applicants. This includes among others, the use of AI for drafting, reviewing and managing job description information; keyword optimization; preliminary evaluation and screening of resumes; extraction of your information from resumes; online assessments; proctoring; video interviewing; and voice and speech evaluation. We however wish to highlight that our hiring team may or may not rely on results presented by AI during your recruitment process, and all final decisions regarding your candidacy are exclusively made by qualified human reviewers. Use of third-party owned AI tools As part of our recruitment process, we may use AI based tools provided by our third-party vendors to assist with one or more of the purposes listed above. While we exercise diligence in selecting our vendors and take various assurances from them including in relation to undertaking bias audits, performance testing and risk assessments of their AI tools, we clarify that such AI tools are owned by third parties, and their processing of your data is also subject to their own privacy notices and terms of service. We are therefore not responsible for any liability arising from breach of applicable laws including applicable data protection laws by such vendors. We also do not warrant the accuracy, reliability, or functionality of such third party owned AI based tools. Data Handling We process and we require our vendors to process, all your personal data processed by the AI tools used during your recruitment process, in accordance with applicable laws. We have also implemented and require our vendors to implement, appropriate technical and organization measures to ensure that your personal data is handled securely.
